Rate Plan Overview
After creating rate plans, you need to set up rates. Each day with a price set is available for your guests. If you do not set a price for a day, then you do not offer rooms with this rate plan on this day.
Rate Plan Screen Views
The rate plans screen offers you two different views: List and Prices
Rate Plans - List
The rate plans list offers you the view of all your rate plans, giving you the opportunity to see your rate plan hierarchy with the most important attributes. By default, the view shows only overnight rate plans.
The list can be filtered by multiple attributes:
Once you have identified the rate plans you want to update by using the filters, you can select them and change them in one go:
- Filter the rate plans
- Enable the select mode by clicking the select button
- Select the desired rate plans
- Select one of the available actions via Actions
Rate Plans - Prices
From the rate plans list view, you can easily switch to the pricing view:
The Rate Plan "Prices" view displays all rates and restrictions for your selected (filtered) rate plans. It allows you to review pricing and restrictions within a specific time period.
You can also scroll down to view availability and occupancy for the same period.
Just like in the Rate Plans List view, you can apply filters, select multiple rate plans, and perform bulk actions across the selected rates.
Pricing Rule - Deriving and Managing Rates
Rate plans can either have their own prices or be based on another rate plan. When a rate plan is derived from another, you only need to update prices on the base rate plan and all linked (derived) plans will adjust automatically according to the pricing rules you’ve set.
This approach is especially helpful when a rate plan is simply a variation of another, for example with a different room type, cancellation policy, or included services. Apaleo supports up to three pricing levels (two derivations).
Price differences can be defined as either a fixed amount or a percentage. You can set them as positive or negative values, making it easy to apply either a supplement or a discount to the base rate.
Price Calculation Mode
When it comes to calculating prices, every cent counts. In Apaleo, there are two different ways of calculating percent surcharges: truncate and round. This applies to both adult surcharges and derived rate plans.
This is better explained with an example. For a rate of 125.99 and a surcharge of +10%:
- When specifying truncate, the result would be 125.99 + 12 = 137.99
- When specifying round, the result would be 125.99 + 12.60 = 138.59
Prices
Prices can only be entered for rate plans that are not derived. To set them, click the three dots next to the rate plan name and select Prices. This opens a dialog where you can enter rates for a specific time range.
You can choose to set one price for the entire period or define different prices per weekday.
The price you enter always applies to single occupancy. Prices for additional guests are automatically calculated based on the surcharges defined in the rate plan settings.
Restrictions
You can define restrictions for each rate in the Prices tab of the rate plan screen. Apaleo supports the following rate restrictions:
Minimum LOS
In Apaleo, length of stay (LOS) restrictions are arrival-based.
When you set a minimum stay restriction for a rate, it applies to all reservations arriving on that date, meaning guests must stay for at least the specified number of consecutive nights or days.
Maximum LOS
In Apaleo, length of stay (LOS) restrictions are arrival-based.
When you set a maximum stay restriction for a rate, it applies to all reservations arriving on that date, meaning guests can stay for no more than the specified number of consecutive nights or days.
Closed on Arrival
If you apply the Closed on Arrival restriction to a rate, guests will not be able to check in on that date and no reservations can be done on this night or day.
Closed on Departure
The Closed on Departure restriction prevents guests from checking out on that date, meaning no reservations can end during this night or day. Keep in mind that to restrict departures on May 19, you need to set the restriction on May 18, as it takes effect the day after it’s configured.
Closed
The Closed restriction is the most powerful type of closure, which is why it’s called the Master Closed restriction. It blocks a night or day completely, preventing arrivals, departures, and stay-throughs across all room types and rate plans.
FAQ
Can I export my rate plan data to Excel?
Yes, you can export a complete rate plan overview to Excel. The export includes key details such as rate plan ID, name, unit group, cancellation and no-show policies, pricing rules, surcharges, and other configuration settings. This export provides a convenient way to review all rate plan settings in one place and identify any missing or inconsistent data.
How can I change the prices of a derived rate plan?
You can easily perform this action by going to prices and selecting that derived rate plan. Once selected, click on the three dots - Pricing rule and make the changes.
Can I update multiple rate plans at the same time?
Yes, you can select multiple rate plans and make the changes. Press the small box and select the rate plans you would like to make the change to. Once completed, use actions to make the change.
Can I update multiple promo codes?
No. To change promo codes, you will need to do one by one or use the APIs.
I made changes to prices of included services, but my existing reservations did not update.
This is expected behaviour. The change will only apply to newly created reservations. For existing ones, you will need to manually use the Modify option.
I want to remove the rate plans no longer in use. How to do it?
If the rate plan was used in the past reservation, there is no longer the option to delete it. You can only archive it.
Can I export the prices?
No. Apaleo does not have the option to export the prices. You can use our APIs in combination with some automation tool and create an export.
