Manage companies
With apaleo, you can create and manage your corporate customers and define which rate plans they’re allowed to book. When setting up a new company, make sure to choose the company code carefully, it cannot be changed later.
All other details, however, can be edited at any time.
Just having the company is rather useless, so go ahead and specify the rate plans that this company can book. You can assign many rate plans to one company and also make one rate plan bookable by more than one company.
When you assign a rate plan to a company, it becomes bookable using the corporate code in the format company-rate plan.
For example, if you add the rate plan “DBL_FLX” to the company “APALEO”, it will be bookable under the rate plan code “APALEO-DBL_FLX.”
Reservations
The first step in creating a reservation is to request available offers. When you enter a corporate code, Apaleo displays all public rate plans along with any exclusive rates linked to that company.
If a guest mentions their company only at check-in or check-out, you can still add the company information to the reservation afterwards. However, once added, the company cannot be changed or removed.
Invoices
When a company is linked to a reservation, you can issue an invoice directly to that company.
Each company profile includes a setting to define whether it can check out on accounts receivables.
If this option is enabled (ticked), you can create an invoice with an open balance that remains to be paid later.
Reports
In the Reports section, you can use the General Manager Report to filter by company. This helps you see exactly how much revenue each company generates, especially those with negotiated or discounted rates.
You can also generate a detailed report of all invoices, including their VAT breakdown, under Reports → Overview.
Depending on your country’s requirements, your finance department may need this report for accounting or tax purposes.
