Rate Plan Guarantees
On rate plans, you can define the minimum guarantee a guest has to provide. Apaleo supports the following guarantee types. The least strict guarantee is on top. Apaleo does not verify if the guarantee is present at the time of booking.
- 6 pm Hold does not request anything from the guest, but you will only have to guarantee the room until 6 pm on the day of arrival. After 6 pm, you are free to cancel the reservation and sell the room to another guest.
- Credit Card requires the guest to provide a valid credit card. If you do not have a valid credit card on file for a reservation with this minimum guarantee, you are free to cancel the reservation and give the room back to sales.
- Prepayment requires the guest not only to provide a valid credit card but to pay at the time of booking. If you do not receive the prepayment in time, depending on your policies, you are eligible to cancel the reservation.
When creating a reservation, you can overwrite the guarantee type, but only to the ones being stricter than the minimum.
Company Guarantees
In Apaleo, when you want a reservation to be guaranteed by a company and don't automatically capture the outstanding amount, you use the 'Company' guarantee type on the rate plans.
To set up a company guarantee:
- Check the Box: In the company profile, ensure that the option "Can check out on accounts receivables" is selected.
- Add Rate Plans: Attach the appropriate rate plans to the company profiles without using the 'Company' guarantee type on the rate plans. These rate plans are only visible to someone using the corporate code linked to the company.
If you want these rate plans to be bookable by other guests and not just companies, copy the rate plan and do not attach it to any companies. Alternatively, create a fictional company linked to a rate plan, and use this company's corporate code to offer one-time company rates to a selected guest.
When booking such rate plans:
- The reservation is automatically connected to the company.
- The debitor of the main folio is automatically set to the company.
- The guarantee type is derived from the company's settings: "Can check out on accounts receivables".
If the company is not allowed to check out on AR, the reservation's guarantee type remains as the original rate plan guarantee type.
If the company can check out on AR, the reservation's guarantee type changes to 'Company'.
Note: When you change the company's settings to "Can check out on accounts receivables", the guarantee type of all reservations attached to that company will immediately change.
When switching the debitor of the main folio to the primary guest or booker, the guarantee type is automatically adjusted to match the rate plan's guarantee type.
This approach ensures that the guarantee type is consistent with the company settings, allowing external systems to rely on it.
