Some cities collect city tax from guests staying in hotels. If your hotel is in one of those cities, Apaleo allows you to configure the city tax. When checking in, the tax will be calculated and added to the guest's folio and invoice. With no additional work for you!
Configure city tax
You can set up city or tourist taxes for each hotel / property individually. Navigate to Settings > Distribution > City tax and enter name, description and the formula how it is calculated.
Field | Explanation | Examples |
Name | The official name your city is using. | City tax, Tourist tax |
Description | The description will be displayed to your guests or front desk staff when creating reservations. Use it to describe how it is calculated and who needs to pay it. |
$5 per person and night. City tax does not apply to business travellers and students, or if the stay is longer than two weeks. 2% of the net total of your stay, including breakfast. City tax does not apply to guests visiting close family members and tour guides. City tax is subject to a 5% VAT. |
Included in the rate | Here you can decide if the calculated city tax amount including the VAT will be considered as included in the rate or will be put on top of the rate amount. |
Let's say in your city the city tax is 5 percent, not taxable and based on the gross accommodation amount. Your rate amount is 105 EUR. If you specify the city tax to be included in the rate you would get 100 EUR for accommodation and 5 EUR as city tax. If city tax is not included in the rate you would get 105 EUR accommodation and 5.25 EUR as city tax. |
Value and Calculation types | The value and calculation are used by Apaleo to automatically calculate the city tax. |
5, per person and night. 2, percent of net amount. |
Price step |
You can only configure a price step, if the type is "Per person and night (in steps)". This specifies the room price steps, in which the city tax increases. |
50 - for each started 50 Euro gross or net room price, city tax is one Euro per person and night. |
VAT | If the city tax is subject to VAT, choose the VAT type that applies to it. | Without, Reduced |
Tax Handling | If the city tax is subject to VAT you can decide if the VAT should be added on top of the set value amount (add taxes to calculated value) or if the VAT is supposed to be contained in the calculated or defined value (calculated value contains taxes). |
Add taxes to calculated value
Calculated value contains taxes |
City tax for different age categories
In case you wish to set different values for infants, kids and so on you can select the calculation type "Per person and night", and under Age categories you can start setting the ages and values.
Apaleo calculates the "From Age" and then it's up to you to set the "To Age".
Remove city tax on check-in
City tax is automatically added when the reservation is created. Adding the city tax directly when the reservation is created has two advantages:
- The reservation confirmation your guests receive can already include the city tax amount. That way, you avoid bad surprises on check-in
- As the city tax is already on the guest's folio, it is possible to charge the city tax with pre-payment reservations.
On check-in, we ask you, if this reservation should have the city tax or not. Often you only have this information on check-in and can therefore decide.
During check-in, Apaleo displays the rules and amount of city tax. Use this information to find out if the guest needs to pay city tax.
Rates without city tax
You can exclude rate plans completely from city tax. Depending on your city's regulations, this makes sense for corporate rate plans or long-stay. You can change this setting at any time.
Accounting
The hotel typically collects city tax for the city or marketing organizations. This means, that the city tax cannot be counted as revenue, but go to their own account. To retrieve the full report, navigate to the City Taxes account, and export the data from there. Additionally, the data will be available in the aggregated exports.
