Apaleo gives you the flexibility to simplify your invoices by grouping similar charges or rate plan packages into consolidated line items.
This helps you create clear, easy-to-read invoices while maintaining compliance and transparency.
With the Invoice Line Item Grouping Configuration, you can configure which grouping options should be displayed to you during invoice creation and which of these options should be used as the default for invoices.
Where to Find It
To configure selectable invoice grouping options:
- Go to Settings > Finance
- Scroll down to Invoice Line Item Grouping Configuration
- Select which grouping options should be available during invoice creation and setup the Default invoice grouping format
If no grouping options are selected, the system default for invoice creation will remain in place, as configured in the underlying section "Invoice styling options for rate plan packages":
What is Line Item Consolidation?
By default, invoices list each charge separately — for example, every breakfast or parking fee appears in a separate line.
With Line Item Consolidation, Apaleo combines similar charges or rate plan inclusions into summarized invoice lines.
This means your invoices become:
- Easier for guests to read and understand
- Better aligned with hospitality industry standards
- Faster for staff to prepare and review

This option groups all identical charges (e.g., the same service name) together into one line item.

This option groups all items that belong to a rate plan package into a single line item, and lists all included services in the description.

If you prefer a simplified invoice view, you can group rate plan charges without showing the included services.

Tips & Best Practices
- Preview invoices before final generation to verify the grouping looks correct.
- If you need to use a different grouping style, you can select it per invoice during creation.
- Once an invoice is finalized, its format cannot be changed. You’ll need to cancel and regenerate it.
- Manual or custom charges must use consistent charge names to group properly.
