Errors When Archiving Units
Overview
Archive units when they are no longer part of your inventory. Archiving a unit removes it from active inventory and cannot be undone. Once the unit is in archive status, there is no longer option to revert return it back.
Before You Start
Before you archive a unit, review future reservations. Archiving a unit may cause overbookings.
After a unit is archived, its details remain available in reports and history.
Archive A Unit
- Go to Inventory > Units.
- Find the unit you want to archive.
- Click the three-dot menu.
- Select Archive.
- Review the warning message.
- Select I understand the consequences of archiving a unit.
- Click Archive unit.
View Archived Units
- Go to Inventory > Units.
- Click Filter.
- Select Unit status.
- Choose one of the following options:
- Show only archived
- Show active and archived
Archived Units In The Room Rack
Archived units can be shown in the room rack when you apply the filter Show active and archived.
An archived unit is marked with an archived label. Move your cursor over the label to see the archive date and time.
Archived Units In Reservations
If a reservation uses an archived unit, the unit is still shown in the reservation details. The archived status and unit group are shown in the unit information.
Errors When Archiving Units
You cannot archive a unit if it is assigned to a future confirmed reservation.
In this case, Apaleo shows this message:
The unit couldn’t be archived. Cannot archive this unit because it is assigned to a future confirmed reservation.
To continue, assign the future confirmed reservation to another unit first. Then try to archive the unit again.
