You can define how to calculate no-show and cancellation fees for each hotel individually.
When you set up a new hotel, apaleo creates a basic no-show and cancellation fee. Navigate to Settings > Distribution > Fees, to see and change them.
Name and description
The name and description might be displayed to guests when they make a booking. Take care they explain the policies correctly and are easy to understand for guests. The name is shown on invoices.
You have to define the VAT that applies to the no-show or cancellation fee. Common configurations are:
- Cancellation is not subject to VAT ('Without')
- No-show is taxed the same way as accommodation
We recommend you check these values with your accountant, and verify they are aligned with the country's taxation rules.
You can configure a fixed fee, a percent fee, or even a mix of both. While this allows you to model very complex fees, your guest will be happier if they are simple.
When configuring percent fee, you can decide if services like breakfast should be included or not. You can also limit it to the first night, the first two nights, etc. If you do not specify a limit, the whole duration of the stay is used to calculate the fee.
