Key Considerations
In Apaleo, a booking and a reservation are considered different entities. Here's how they function and how to manage them:
Difference Between Booking and Reservation
- Booking: A booking can contain multiple reservations. Think of it as a container for one or more reservations.
- Reservation: This is a single instance of a booking for a room or service.
Example: Group Booking vs. Normal Booking
When creating a booking from the normal reservation page:
- You can create multiple reservations within the same booking.
- This is similar to a group booking where different reservations are managed under one booking.
Note: If you create the booking from the normal reservation page and not the group booking page, you will not have access to specific group booking options like creating blocks.
Creating a Booking
- Go to Reservations.
- Click on + New Booking.
- Within a booking, you can create multiple reservations.
Important: Be very careful to ensure you create reservations under the correct booking to avoid errors.
Once the booking is created, you will see the following:
Tabs in a Booking
Once a booking is created, you'll see three tabs:
- Reservations: Lists all reservations under this booking.
- Booker: Contains details of the person who made the booking.
- Payment Account: Shows the payment method used for the reservations in this booking.
Therefore, to allow one guest to pay for other reservations, you simply go to the booking of your guest and click on .
Managing Payments for Multiple Reservations
To allow one guest to pay for multiple reservations:
- Go to the booking of the guest who will be paying.
- Click on Payment Account.
- The payment method in the Payment Account will automatically be copied to the payment account of each reservation.
Handling Regular Guests
For regular guests:
- Create future reservations under a booking where the guest is the booker.
- This way, you avoid asking for credit card details repeatedly.
Important: Be very careful to ensure you create reservations under the correct booking.
Key Considerations
- Attention: You cannot move an existing reservation to another booking.
- Beware: Always double-check that you are creating reservations under the correct booking to avoid any errors.
By understanding these distinctions and following the guidelines, you can effectively manage bookings and reservations in Apaleo, ensuring efficient operations and accurate payment processing.
