In an ordinary hotel inventory setup, you create a room category and add rooms to it. In a hostel inventory, you have individual beds in addition to rooms and categories.
This guide explains how to set up your hostel inventory and provides an example of a 4-bed room setup. With this inventory setup, you can create rate plans for the rooms and individual beds, enabling you to sell both separately to guests.
Process
All steps will be done in the Apaleo section Inventory > Unit Groups and Units.
In short, you need to create the individual bed unit group with its units (the individual beds) before creating the unit group with its units (the actual room).
1. Create the Unit Group for the Individual Beds: Open Unit Groups and add a + New Unit Group.
The inventory attribute type is bedroom and max. person should be 1 (for 1 person in the bed). Do not select the connecting unit group.
Save this step.
2. Create the Units for the Individual Beds: Open Units and add + New Unit. The number of units should be the total number of beds that you have in this type of unit group. In Unit Group and Occupancy, select the unit group that you created in step 1 and add the same max. persons as in step 1.
Save this step.
3. Create the Unit Group for the Individual Room: Open Unit Groups and add a + New Unit Group.
The inventory attribute type is bedroom and max. person should equal the number of beds available in this room. Select "This is a connecting unit group" and select the unit group for the individual beds you created in step 1. The number of adults should be equal to the number of beds available in this room.
Save this step.
4. Create the Units for the Individual Rooms: Open Units and add + New Unit. The number of units should be the total number of rooms that you have in this type of unit group. In Unit Group and Occupancy, select the unit group that you created in step 3 and add the same max. persons as in step 3.
The Connecting Units section shows the number of rooms you created at the beginning of the page. Now you can map the individual beds to each room.

Now you can see the connection between the beds and rooms in the unit groups overview and in the room rack.
Example
This is an exemplary setup process for a 4-bed hostel room. We have two 4-bed rooms.
1. Create the Unit Group for the Individual Beds: Open Unit Groups and add a + New Unit Group.
We choose the code 4BR_1 as an abbreviation for 4-bed room 1 bed.
2. Create the Units for the Individual Beds: Open Units and add + New Unit.
In total, we have 8 individual beds in the 2 separate rooms with the room numbers 100 and 105.
We name the beds based on the room number and bed number, e.g., 100-1 for room 100 and bed 1.
3. Create the Unit Group for the Individual Room: Open Unit Groups and add a + New Unit Group.
We choose the code 4BR as an abbreviation for 4-bed room. This is very similar to the single bed unit group and makes it simple to connect these visually later on.
In the step Connecting Unit Group, we click the check box and select the unit group created in step 1.
4. Create the Units for the Individual Rooms: Open Units and add + New Unit.
We create the two 4-bed rooms with the room numbers 100 and 105. In the Connecting Units section, we add the individual beds to the room.
